Job Description:

Summary: The Accounting Assistant reports directly to the Accounting Manager and is a key member of the Finance team, with primary responsibilities including performing day-to-day accounts payable operations as well as providing administrative support to the accounting department, undertaking clerical tasks such as typing, filing, making phone calls, handling mail, and other duties as assigned.

 

Areas of Responsibility: 

  • Perform daily Accounts Payable duties in the Finance Department, including coding, posting and review of invoices for processing
  • Review all general ledger coding, 2-way match and approvals in compliance with PHC policies
  • Review and pay vendor invoices weekly
  • Research of payment transaction discrepancies
  • Research past due invoices and vendor statements to avoid duplicate payments
  • Maintain vendor master and payment files in accordance with departmental policies
  • Regular communication with all managers and other employees involved in the payables process
  • Direct communication with vendors
  • Processing of employee reimbursable expenses
  • Performing everyday office procedures to assure that the accounting department functions in an organized and efficient manner
  • General office duties
  • Administrative and accounting responsibilities
  • Updating and maintaining files
  • Preparing reports and correspondence as requested by accounting staff
  • Assist with Month End/Year End Close

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required. 

 

 **New employees are mandated to either provide proof of their COVID vaccination or to receive the vaccine, either through PHC or their own provider, with the first dose of a series required before the first day of employment. Education/Experience:

  • High school diploma, higher education preferred 
  • Data entry experience minimum 2 years

  • Sensitivity to the needs and situations of a multi-cultural population from a variety of income levels
  • Function and ability to work in a team environment
  • Ability to think critically

 

Language Skills:  Bilingual in English and Spanish, both written and verbal, preferred.

 

Mathematical Skills:  Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions and decimals.

 

Reasoning Ability:  Ability to recognize problems, think critically, collect data, and establish facts. 

 

Computer Skills:  MS Office (Word, Excel and Outlook) and use of a web browser.
